Time
This screen displays your timesheet list, showing all open (unsubmitted) timesheets regardless of date. Tapping All allows you to view submitted timesheets from the last 10 or 30 weeks. You can also tap Lookup Date to open a calendar for any month and search for timesheets by a specific date.
Tapping an entry allows you to view the details of the selected timesheet. You can create a timesheet from the Time screen.
Time Screen
Use the fields and options on the Time screen to quickly locate specific entries.

| Lookup Date | Tap this tab to select a timesheet by date. Tapping this tab displays the calendar for the current month. You can navigate between months. If you tap a date without an associated timesheet, the application displays a message prompting you to select another date. To return to the calendar, tap Lookup Date again. Note: Timesheet end dates that are valid are displayed with a circular marker, corresponding to the beginning of each week. |
Display the Time Screen
Use this procedure to access the Time screen.
To display the Time screen:
- On the menu bar, tap Time.
Timesheets Screen
Use this screen to view available timesheets, add or edit a timesheet line, or submit a timesheet.
Note: You can switch between Day, Week, and Projects views using the corresponding tabs at the top, and the bottom menu bar keeps Time, Expenses, Settings, and Help within easy reach.
Across all tabs, the timesheet status (Open, In Progress, Submitted, or Approved) and the week's date range are displayed, with arrows and a calendar icon for quick navigation. For Day, the selected date also displays.

| Day | Tap this tab if you want to view all your time entries for one day. The day picker in the daily timesheet view highlights the current day within the week. An information bar displays your daily hours by category, such as Regular, Overtime, and Total. Each entry lists project details and hours worked. |
| Week | Tap this tab to view all your time entries for the week. At the top of the weekly timesheet view, the timesheet status and the date range for the current week displays. It organizes time entries by day of the week (Monday-Sunday), where the displayed dates are based on your company's Week Starts On preference. Use the back and next arrow buttons to navigate between weeks or tap the calendar icon to jump directly to any week you need to review or edit. Expand or collapse the daily section to view or hide the daily and weekly totals and supports multiple pay type sections per entry (such as Regular, Overtime, and other premium time). Use the search and filter icons to quickly find specific projects or entries across your entire week. |
| Project | Tap this tab to view entries by project rather than by individual day, providing a clear overview of the hours allocated to each project throughout the week. The project-based timesheet view displays the current timesheet status along with the date range for the week. Use the back and next arrow buttons to navigate between weeks, or select the calendar icon to access a specific week directly. The hours summary bar presents totals for Regular, Overtime, and other premium time, and overall hours worked across all projects for the week. Each project is presented as an expandable section featuring details such as project number, name, phase, and activity. Select the arrow beside a project header to expand the section to review daily entries for that project, listed chronologically with corresponding hours displayed to the right. At the bottom of each expanded project section, you see a summary showing total hours categorized by pay type (Regular, Overtime, and other premium time) for that specific project. |

Display the Timesheets Screen
Use this procedure to access the Timesheets screen.
To display the Timesheets screen:
- On the menu bar, tap Time.
- On Time, tap a timesheet.
Daily Statistics Modal
Use this modal to quickly view how your time is allocated each day on Timesheets in day view so you do not need to scroll through individual entries.
The modal is available regardless of your timesheet's status.
Note: The Daily Statistics modal is read-only. The displayed hours reflect the total of all entries for the selected day, regardless of individual entry lock status.
The modal displays the selected day's date at the top (for example, Monday, April 14, 2025) followed by a breakdown of your hours organized into two columns:
- Project: Hours logged against project time entries.
- Overhead: Hours logged against overhead time entries.
Hours are listed by pay type, including Regular time and any additional pay types enabled by your company, such as Overtime and other premium time. Both columns are always displayed, even if no hours exist for a particular category, giving you a complete picture at a glance.
Note: The statistics displayed always correspond to the day currently selected in your Day view. To view a different day's summary, change the selected day and tap the icon again.
Tap Done or anywhere outside the modal to dismiss it.
Display the Daily Statistics Modal
Use this procedure to access the Daily Statistics modal.
To display the Daily Statistics modal:
- On the menu bar, tap Time.
- On Time, tap a timesheet.
Tap the information icon next to Details in the summary row.
The Daily Statistics modal slides up from the bottom of the screen.
Daily Details Screen
Use this screen to track daily start, daily end, meal breaks, and rest breaks.

| Date Display | This field displays the date for the currently viewed day. You can navigate forward and backward between days within the same timesheet period without returning to the main timesheet view. The timesheet status also displays below the date. |

| Day End Time | Enter the end time or tap the clock icon to use the scroll picker. |
| Work Location | You have the option to enter one or more locations (separated by a comma). |

| Break Details | Enter your meal break details. Select up to two meal breaks; for each, enter the duration in minutes or select Opt Out. Number of Meal Breaks: Use the drop-down to select the number of meal breaks (up to 2) taken on the selected date. Meal Break 1, 2: Enter the number of minutes for the selected number of meal breaks. Use the Opt Out check box if you opted out of a selected meal break. It is mandatory to either enter duration or select Opt Out for each meal break taken during the day before submitting. Opt Out: Tap this checkbox if you opted out for the selected meal break. Note: If you select 0 in the Number of Meal Breaks field, the Meal Break field and Opt Out checkbox do not display. |
| Number of Rest Breaks | Use the drop-down to select the number of rest breaks (up to 3) taken on the selected date. Rest Break 1, 2, or 3: Enter the number of minutes for the selected number of rest breaks. Use the Opt Out check box if you opted out of a selected rest break. It is mandatory to either enter duration or select Opt Out for each rest break taken during the day before submitting. Opt Out: Tap this checkbox if you opted out for the selected rest break. |
Note: If you select 0 in the Number of Meal Breaks field, the Meal Break field and Opt Out checkbox do not display.
Display the Daily Details Screen
Use this procedure to access the Daily Details screen.
To display the Daily Details screen:
- On the menu bar, tap Time.
- On Time, tap a timesheet.
- Tap the Details clock icon in the summary row.
Add Time Screen
Use this screen to add a timesheet entry.
The available fields depend on the selected type configuration.

Hours flagged this way are automatically included in payroll calculations and IRS reporting, helping your organization stay compliant with federal guidance. |

Display the Add Time Screen
Use this procedure to access the Add Time screen.
To display the Add Time screen:
- On the menu bar, tap Time.
- On Time, tap a timesheet.
- On Timesheets, tap + Timesheet Lines.
Edit Time Screen
Use this screen to edit a timesheet entry.
All your existing details (such as overhead type, hours, pay types, and notes) are pre-populated and ready for you to update. The available fields depend on the selected type configuration.

Note: When you update the project, phase, activity, or employee type on a timesheet entry, the Editing Timesheet Line dialog box displays, asking whether you want to apply the change to the selected day only or the entire week. Tap the corresponding option to proceed.
Display the Edit Time Screen
Use this procedure to access the Edit Time screen
To display the Edit Time screen:
- On the menu bar, tap Time.
- On Time, tap a timesheet.
- On Timesheets, tap a timesheet line.
View the Timesheet List
Use this procedure to view the list of available timesheets.
To view available timesheets:
- On the menu bar, tap Time.
- On Time, you can filter timesheets by tapping View Last 10, View Last 30, or Lookup Date (for a specific timesheet date from a pop-up calendar).
Create a New Timesheet
Use this procedure to create a timesheet.
To create a new timesheet:
- On the menu bar, tap Time.
- On Time, tap +.
On New Timesheet, select a date in the Timesheet ending date and then select one of the following options:
View AI suggestions: Select this option to have the application suggest projects based on your activity from the past three weeks. The application prioritizes your most recent and frequently used projects, enabling quick selection.
You can search through these suggestions, filter them, pick multiple projects at once, or use Select All on the AI Suggestions screen. When finished, tap Create Timesheet to add them to your timesheet with the hours set to 0.00 for you to complete later.
Note: If you are using the feature for the first time or lack sufficient history, you will receive a prompt advising you to either copy a previous timesheet or manually add projects.
Copy previous timesheet: Select this option to duplicate an existing timesheet's project lines. Select or enter a source timesheet in the Copy From Date field, which defaults to your most recent timesheet. All project lines will be carried over with hours reset to 0.00.
- Start from scratch: If you prefer starting fresh, select neither option to create a blank timesheet. The new timesheet opens with a status of In Progress, and any company-designated overhead lines (like Vacation, Holiday, or General) may display automatically.
On Timesheets, enter or tap necessary details.
Copy a Timesheet
Use this procedure to copy a timesheet.
To copy a timesheet.
- On the menu bar, tap Time.
- On Time, swipe left on the timesheet you want to copy, then tap Copy.
- On Copy Timesheet, select a timesheet ending date, then tap Copy Timesheet.
Alternatively, you can copy a timesheet by tapping Copy Previous Timesheet on New Timesheet when creating a new timesheet.
Copy a Timesheet Line
Use this procedure to copy a timesheet line.
Note: You can only copy a timesheet line when the following conditions are met:
- The timesheet status is Open, In Progress, or Rejected.
- The timesheet line is a Project time.
- The timesheet entry has not been billed or paid.
- The source project and phase have a status of Active, Preliminary, Marketing, or Billing Hold.
To copy a timesheet line.
- On the menu bar, tap Time.
- On Time, tap a timesheet.
- On Timesheets, swipe left on the timesheet line you want to copy, then tap Copy.
The copied line displays at the bottom of the list, inheriting the project details such as Project, Phase, Activity, and Employee Type.
Add a Timesheet Line
Use this procedure to add time entries for a single day to either project work or overhead activities
To add a timesheet line:
- On the menu bar, tap Time.
- On Time, tap a timesheet.
- On Timesheets, tap + Timesheet Line.
- On Add Time, select an item type, which is either Project or one of the Overhead items (such as Holiday, Meeting, Paid Medical Leave, Sick, and Vacation).
Tapping an option displays the relevant fields for the selected item type. - If you select the Project item type, you need to select your Project, Phase, and Activity in sequence. Each list (Project Search, Phase Search, or Activity Search) is filtered to display only what is available and assigned to you.
- If you select an Overhead item type, you do not need to select a project, phase, or an activity as these overhead items have been pre-configured by administrators in Ajera.
- On Add Time, select or enter the necessary details.
- When you are done, tap Save.
Edit a Timesheet Line
Use this procedure to edit an existing timesheet line.
You can only edit notes on time entries that have already been billed, paid, or submitted.
To edit a time entry:
- On the menu bar, tap Time.
- On Time, tap a timesheet.
- On Timesheets, tap a timesheet line.
- On Edit Time, enter or tap necessary details.
- When you are done, tap Save.
Note: When you update the project, phase, activity, or employee type on a timesheet entry, the Editing Timesheet Line dialog box displays, asking whether you want to apply the change to the selected day only or the entire week. Tap the corresponding option to proceed.
Submit a Timesheet
Use this procedure to submit your timesheet.
To submit a timesheet:
- On the menu bar, tap Time.
- On Time, tap the timesheet you want to submit.
- On Timesheets, tap Submit.
- If your company has Click to Certify enabled, a certification message displays when you tap Submit. Tap Accept to complete the submission. This confirms that the time you entered is accurate and is recorded on your timesheet accordingly.
>Note: If your supervisor or accounting unapproves your timesheet after submission, you can unsubmit it to make corrections:
>- The submitted status is removed and your timesheet becomes available to edit and resubmit.
>- The certification record is also cleared.
>- When you resubmit, the Click to Certify message displays again for you to confirm your time is correct.
Unsubmit a Timesheet
User this procedure to unsubmit a timesheet that has been submitted but not yet approved.
To unsubmit a timesheet:
- On Time, tap a submitted timesheet.
- On Timesheets, tap Unsubmit.
Your timesheet status changes from Submitted to In Progress and button changes back to Submit.
Viewing and Correcting Rejected Time Entries
If a manager rejects one or more of your time entries, you can view exactly which days were rejected, understand why, make your corrections, and submit again.
Rejected entries are clearly flagged with orange.
An orange warning indicator displays on the specific calendar day numbers that have been rejected in your timesheet week view.
An orange alert icon displays on any timesheet line item that contains a rejected day.
If multiple days on the same line are rejected, each affected day displays its own orange calendar indicator.
If multiple lines share a rejection on the same calendar day, that day's indicator remains visible until all rejections on it are resolved.
On Timesheets, a Rejected status displays at the timesheet level when a Project Manager has rejected time. The rejections made by the Project Manager do not change the timesheet-level status in the list, but orange indicators will still display within the timesheet to guide you to the affected entries.
After correcting all rejected days, you will need to manually submit your timesheet again. The timesheet-level Rejected status remains in place until every rejected day has been corrected and the timesheet is resubmitted.
