Contents of the Approval Center Form

Use the Approval Center form to access and perform approval workflow tasks.

Common fields

Field Description
Approval Center drop-down

Select an approval record type in this drop-down menu. Depending on enabled approvals, the menu may include any of the following approval record types:

  • Absence Requests
  • Expense Lines
  • Expense Reports
  • Timesheets
  • Timesheet Lines

The number in parentheses next to each menu item indicates the number of approval assignments you have.

After selecting a menu item, the corresponding grid displays the records that you can access. See the items in the Related Topics section at the end of this topic for more information about each grid. Approval workflow-related tasks that you can perform are based on the approval workflow configuration. If you have appropriate access, you can approve, reject, reassign, or reopen records.

Actions menu Use the items on the Actions menu to perform any of the following actions.
  • Approve Selected: Select this option to approve the item. This option is only available if the selection check box is checked for one or more rows in the grid. On the Approve dialog box, enter a comment as needed, and click OK. The approval process continues to the next step based on the configured approval workflow for the record.
  • Reject Selected: Select this option to reject the item. This option is only available if the selection check box is checked for one or more rows in the grid. On the Reject dialog box, enter a required comment and click OK. Based on the configured approval workflow for the record, the record could be sent back to the employee who submitted it. The Reject action does not display if:
    • You make changes to a record while the workflow state is In Review.
    • If the Reject Action field is set to None on the Workflow tab in Settings > Workflow > Approval Workflows in the desktop application for an approval workflow.
    • You do not have the appropriate approvals workflow access rights, based on approvals workflow configuration.
  • Reassign Selected: Select this option to open the Change Assignment dialog box and assign an additional employee to the current approval step for the record or move the approval assignment from one approver to another employee. This option is only available if the selection check box is checked for one or more rows in the grid. This option is available if the Allow Approvers to Reassign option is selected on the General tab of Settings > Workflow > Approval Workflows in the desktop application. The option is also available if you are the approval administrator for the record's approval workflow.
  • Reopen Selected: Select this option to push an approved record back to the last step of the approvals workflow. This option is only available if the selection check box is checked for one or more rows in the grid. This option displays while you are viewing an approved record. This option is available if the Allow Employees to Reopen Closed Approval option is selected on the General tab of Settings > Workflow > Approval Workflows in the desktop application.
  • Approve All: Select this option to approve the item. On the Approve dialog box, enter a comment as needed, and click OK. The approval process continues to the next step based on the configured approval workflow for the record.

    Warning: This action approves all your assigned records, not just the records currently shown in the grid.

  • Reject All: Select this option to reject the item. On the Reject dialog box, enter a required comment and click OK. Based on the configured approval workflow for the record, the record could be sent back to the employee who submitted it. The Reject action does not display if:
    • You make changes to a record while the workflow state is In Review.
    • If the Reject Action field is set to None on the Workflow tab in Settings > Workflow > Approval Workflows in the desktop application for an approval workflow.
    • You do not have the appropriate approvals workflow access rights, based on approvals workflow configuration.

    Warning: This action rejects all your assigned records, not just the records currently shown in the grid.

  • Reassign All: Select this option to open the Change Assignment dialog box and assign an additional employee to the current approval step for the record or move the approval assignment from one approver to another employee. This option is available if the Allow Approvers to Reassign option is selected on the General tab of Settings > Workflow > Approval Workflows in the desktop application. The option is also available if you are the approval administrator for the record's approval workflow.

    Warning: This action reassigns all your assigned records, not just the records currently shown in the grid.

  • Reopen All: Select this option to push an approved record back to the last step of the approvals workflow. This option displays while you are viewing an approved record. This option is available if the Allow Employees to Reopen Closed Approval option is selected on the General tab of Settings > Workflow > Approval Workflows in the desktop application.

    Warning: This action reopens all your assigned records, not just the records currently shown in the grid.

If the chosen action cannot be applied to any of the records involved, a message displays with an explanation.

Showing [All, Selected, Name] Projects This field displays only for expense line or timesheet line approvals. Hover over the label and click to open the Project Filter dialog box where you can specify the projects to display in the grid.
Show All Pending and Complete When you select this check box, all approval records for which you are the approver, past approver, or approval administrator display in the grid. If you are a supervisor of employees, the approval records for all the employees whom you supervise display in the grid. If you are the employee for whom an approval record is created, your records display in the grid.

When you clear this check box, you see approval records in the grid only if you are the assigned approver for the records.

The records that display in the grid (whether you clear or select the check box) are submitted, rejected, or approved. They have a state of In Approval, In Progress, or Complete. Records that have been posted do not display in the grid.

If you have multiple companies, the grid includes approval records from all companies.

Column Selection To choose the columns that display in the grid on the Approval Center form, click to the right of the grid and select the columns on the Column Selections dialog box.
