Assign Resources to a Project in Project View

To assign one or more resources to work on a project, select the project in Project View and specify the resource assignments in the Assign Resources to Project dialog box.

If you set up plans for opportunities, you can also assign resources to opportunities using this procedure.

In addition to resources that you assign using the procedure below, employees with no planned hours but with JTD hours charged to a WBS element are assigned automatically and display in the Project View grid as well.

When adding resources to projects in Project View, you must make sure that the plan is checked out to you and that the row is eligible to have assignments.

To assign one or more resources to a project:

  1. In the Navigation pane, click Resource Management > Project View.
  2. Select the project to which you want to assign resources.
  3. Do one of the following:
    • To assign resources to work breakdown structure (WBS) elements in all or many of the WBS branches, click on the row for the top-level project in the Project View grid, and hover over the Level/Resource row to display in the row, and then click to display the Add Resources to dialog box. DPS displays the entire WBS hierarchy in the Assign Resources to Project dialog box.
    • To assign resources to work breakdown structure (WBS) elements in just one branch of the WBS, click on the row for the parent WBS element for that branch in the Project View grid, and hover over the Level/Resource row to display , and then click to display the Add Resources to dialog box. DPS displays just the WBS hierarchy for that branch in the Assign Resources to Project dialog box.

      When you select a row, one of the following icons displays to the left of the top-level WBS element:

      • : The plan is now checked out to you, and you can edit plan information.
      • : You cannot edit plan information for the row because the plan is checked out to someone else, the plan has unpublished changes, or you do not have the necessary access rights to make changes to the plan.

      Click the icon to display an explanation in an info bubble. If the plan is checked out, the info bubble provides the name and email address of the person who has it checked out. If you have the necessary access rights, the info bubble also contains a link that you can click to check the plan back in and then check it out to you. If the plan has unpublished changes, the info bubble provides the name and email address of the project manager so you can communicate with them about the plan.

  4. By default, the Assign Resources to Project dialog box displays all resources. To restrict the list, do either or both of the following:
    • In the top Search field, select a standard search or a saved custom search.
    • In the bottom Search field, enter one or more search characters to further restrict the list. DPS displays a list of resources for which at least one of the following starts with those search characters: employee preferred name, employee first name, employee last name, employee name suffix, employee ID, generic resource name, labor category.
  5. In the list of resources, select the check box next to those that you want to assign.
  6. In Level, expand the WBS hierarchy to display the WBS elements to which you want to assign the selected resources. You can only assign resources to the lowest-level WBS elements in each branch of the WBS. A + displays next to those elements.
  7. Click + next to each of the WBS elements to which you want to assign the selected resources.

    The resources are added, as pending assignments, to the list of assigned resources for each of the selected WBS elements. You can expand those elements to display all currently assigned resources.

  8. To assign other resources to the project, repeat steps 3 - 8.
  9. If you consider the new assignments hard booked, select the Hard Book check box.

    This check box is only available if DPS is configured to use soft and hard booking and if you have the required security access to hard book assignments.

  10. To confirm all of the new assignments and close the dialog box, click Assign.
