Void a Check or Electronic Funds Transfer Payment

You can void a paper check or electronic funds transfer payment if it has not cleared at the bank to which it was posted. When you void an item, the status returns to Processing, so that you can reprocess it.

The void procedure returns the status of a vendor's accounts payable voucher to Outstanding. It does not block payment to the vendor. If you void an EFT transaction before the vendor is paid, but after you send the .txt file to the bank, you must tell the bank to stop payment to the vendor.

To void a check:

  1. On the Navigation menu, click Cash Management > Void Payment.
  2. In the Bank field on the Void Payment Processing form, enter the bank code to which the item was originally posted. You can select only one bank at a time.

    If you use multiple companies, the Bank field displays only those bank codes available to the active company.

  3. In the Payment Type field, select the type of payment to void.
  4. To void items issued during a specific period of time, enter a start date in the Only include payments as of field. If you leave this field empty, payments issued during all time periods are included.
  5. Optional. Specify a date other than today's date in the Void Date field.
  6. In the Payments on File grid, select the rows with payments to void.
  7. Click Process.
  8. Click Yes to proceed. DPS processes the void and displays a message to tell you that the posting process completed successfully, and displays the number of voided payments by type, the number of line items posted, and the posting sequence number.
  9. Click OK to void the specified payment and create a separate posting log for each payment type.

    If the Preview window opens automatically, use its options to print, email, or download the posting log.
