Accrue Absence Hours Based on a Predefined Schedule

If you do not use the DPS Payroll application, or you want to accrue absence hours on a different schedule from your payroll schedule, you can determine a separate frequency for absence accruals. Initiate the accrual manually on the Absence Hours Accruals Processing form.

Prerequisites: Before you initiate the absence accrual process, your system administrator must establish the frequency of absence accruals by selecting the frequency (Monthly, Semi-monthly, Biweekly, or Weekly) in the Absence Accrual Frequency field on the Timesheets tab of Settings > Accounting > Company.

To accrue absence hours manually:

  1. On the Navigation menu, click Human Resources > Absence Accruals > Accruals.
  2. On the Absence Hours Accruals Processing form, change the accrual date, if necessary. DPS calculates the accruals based on the settings on the Timesheet tab in Settings > Accounting > Company.

    For accrual codes based on frequency, the number of hours accrued for an employee is calculated by referring to the Absence Accrual Frequency field. This configuration field indicates how often you plan to accrue absence hours: Monthly, Semi-monthly, Biweekly, Weekly. DPS divides the annual number of absence hours by the number of times that you plan to accrue absence hours over the course of the year.

    For accrual codes based on hours worked, the number of absence hours accrued for an employee is calculated by multiplying the Hours Earned per Hour Worked times the number of timesheet hours in the selected timesheet postings. If, for example, an employee earns .0333 hours per hour worked and has a total of 40 hours in the selected labor posting, the employee will earn 1.33 hours in the specific accrual process.

  3. If the accruals are also based on hours worked, select the accrual method to include via the Methods to Include option.
    Option Description
    Include All All accrual codes associated with all employees.
    Frequency/Schedule All employees with accrual codes with a method based on either frequency or a schedule that is not set to calculate based on hours worked.
    Hours Worked/Hours Worked Schedule All employees with accrual codes with a method based on either hours worked or on a schedule that is set to calculate based on hours worked.
  4. Click Run.
  5. In response to the prompt, click Yes to print the Absence Hours Processing Journal report or click No to bypass printing the report. You can also print the report by clicking Print on the toolbar after you run the accrual process.
