Transfer Transaction Detail Between Projects for Interactive Approvals

You can transfer labor, expense, or unit transaction detail between projects.

If alerts are configured for Timesheet labor, DPS sends an alert indicating the labor transfer has taken place. After transferring detail between projects during an Interactive Approvals session, DPS posts the transactions to the appropriate projects and to the general ledger. Postings are logged to unique posting sequence numbers for each type of transfer (labor or expense) performed during the session. These postings display on the Posting Logs and on the Posting Review Report, in the Transaction Center.

To transfer transaction detail between projects:

  1. From the Navigation menu, click Billing > Interactive Approvals.
  2. Open the appropriate project.
  3. Click the Labor or Expenses tab, depending on the type of transaction to transfer. DPS displays all unbilled labor or expense transactions posted to this project, phase, or task. If you are transferring labor to another project, be aware that the transfer will not remove the employee whose hours were charged to the original project on the Projects hub Team tab. If this employee is not a member of the originating project's team, after the transfer the employee must be removed manually from that project's Team tab in the Projects hub . Any supporting documents associated with the transaction are also transferred. If only a partial transfer occurs, the associated supporting documents are available to both transactions.
  4. Click the record selector box next to the transaction line you want to transfer to select the transaction.

    You can select multiple transactions, but you must transfer each transaction in its entirety when doing so. To perform a partial transfer you must select a single transaction.

    Depending on whether or not you selected the Default to project view on detail tabs option on the Billing Session Options dialog box, the detail grid may display all transactions including those at different WBS levels. DPS allows you to select any combination of transactions and transfer them to any project, phase, or task for which you have access. However, if the selected transactions have different labor codes, you cannot transfer to another labor code. The labor code option on the transfer dialog box will not be enabled.

  5. Click Transfer. DPS displays the Labor or Expense Transfer dialog box, depending on the type of transfer.
  6. Be sure that Within current (Project, Phase, Task) option is not selected when transferring Labor or Expense transaction detail.
  7. Enter the destination of the labor or expense transfer in the Project, Phase and Task fields, as appropriate. The name of the project, phase, or task appears to the right. Verify that you have selected the appropriate destination for the transfer. To select a phase, you must also select the phase's project. To select a task, you must also select the corresponding phase and project.
  8. Complete additional information on the appropriate dialog box: Labor Transfer or Expense Transfer.
  9. Optional. If Enable Labor Transfer Audit is selected in Settings > Time & Expense Company > Timesheet, you can enter a reason for transfer using the Reason drop-down list or entering your own reason.
  10. Click OK on the dialog box. DPS removes or reduces the amount of the transaction from the source project and assigns the total or partial transfer to the destination project.
