Contents of the Payment Printing and Numbering Form (Employee Expenses)

Use the fields and options on the form to preview payments, assign check numbers, print file copies, and export payment data to text files.

Review Grid (untitled)

Field Description
Bank

Enter the bank code to use for this payment run.

If you use multiple currencies, the bank code also controls the payment's currency. The payment Amount is expressed in this currency.

Description This field displays the description for the bank code.
Printed This flag indicates whether or not the payment has been printed.
Assigned This flag indicates whether or a number has been assigned to the payment.

Payments Grid Toolbar Options

Field Description
Grid Drop-down

Click the drop-down arrow on a grid header to complete any of the following actions:

  • To print grid data, click Print. On the Print Preview form, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the grid data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into the field, in the sequence that you want them to display.

Not all options are available on all grids.

Preview Payments Click this option to see a preview of the payment to be made.
Assign Numbers Click this option to display the Assign Payment Numbers dialog box.
Print Remit Click this option to print a remittance report of the payments being made for the selected bank. This check box appears if a number has been assigned to the payment.
Print File Copy Click this option to print a copy of the check faces and aprons.
Export to Text Click this option to open the Download Payments to Text File dialog box. Click Create File, and on the File Download dialog box, click Save to save the text (.txt) file.

Payments Grid Columns

Field Description
Bank This column displays the bank code.
Payee This column displays the name of the employee receiving the expense payment.
Sequence This field displays the sequence number for the payment processing run.
Payment This field displays the number that you assigned to the payment.

If automatic transaction numbering is enabled for the bank, the payment number is automatically assigned. You specify automatic numbering settings on the Transaction Auto Numbering tab of the Accounting System Settings form (Settings > Advanced Accounting > System).
