Links Tab of the Equipment Form

Use the Links tab to link one or more external text files, graphics files, or email messages to an equipment item. When you add a file link to the Links grid, DPS creates a hyperlink between the link path specified in the Link Path field on the grid and the file. Click the link path to open the file from the current record.

Field Description
Files Drop-down

Click the drop-down arrow on a grid header to complete any of the following actions:

  • To print grid data, click Print. On the Print Preview form, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the grid data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into the field, in the sequence that you want them to display.

Not all options are available on all grids.

Insert File Link

Click this option to add a file link to the Links grid. This creates a link from the external file to the current record.

When you add a file link to the Links grid, DPS adds a link that uses the file's path. To ensure that others can view the file, use the full UNC path, rather than a mapped drive or your local C:\ drive. For example, use \\ProjectServer\Pictures\ABC_Photo.jpg rather than G:\ABC_Photo.jpg.

If you move a previously linked file to a new location or change the name of the file, the link path is no longer valid and the hyperlink in the Links grid no longer works.

Insert URL Click this option to add a URL to the Links grid. Use this option to link web sites, FTP sites, email addresses, newsgroups, and SharePoint document URLs to the current record. If a web site, FTP site, email address, newsgroup, or SharePoint document URL changes, the hyperlink in this field no longer works.
Delete Click this option to delete a file from the Links grid. Use this option to delete an external file link or a URL from the Links grid.
Description Enter a brief description of the file link or URL, to help you distinguish the file link or URL from other files.
Link Path

This field displays one of the following:

  • The complete link path for an external file. Click on the link path to open the file link from the external location where it is stored.
  • The complete HTTP, FTP, email, newsgroup address, or SharePoint document file link for a URL. Click the address to go to the Web, FTP, or newsgroup site, open a SharePoint document, or to open and send an email.

To edit a file link path or URL, right-click it and then click the Edit option. This disables the hyperlink feature and allows you to edit the information in this field.

Graphic

This option is selected if the associated file link is a graphics file. The link path name cannot contain any commas if you plan to use the linked graphic in certain merged proposals.
