Invoices on File Tab of the Intercompany Billing Form

Use the Invoices on File tab to preview or print invoices generated by the intercompany billing process. This tab is available only if your enterprise uses detailed subledgers.

Intercompany Billing Runs Grid

Use this grid to review the invoices generated by the intercompany billing process. You can see draft or final intercompany billing files in the list. Select runs in this list and click Refresh Invoice List to determine which data displays in the Intercompany Invoices on File grid.

Field Description
Refresh Invoice List Select one or more intercompany billing runs and click this option to refresh the details shown in the Intercompany Invoices on File grid.
Seq This field displays the intercompany billing sequence number, a unique internal number that identifies which run produced the invoice.
Run Date This field displays the date on which the intercompany billing process that generated the invoice was run. You can change this date on the Invoice Options Dialog of Intercompany Billing.
Description For a draft intercompany billing run, this field shows Draft Run. For a final intercompany billing run, this field shows the description specified in the Run Description field on the General tab.

Intercompany Invoices on File Grid

Use this grid to preview or print the invoices generated by the intercompany billing process.

Field Description
Preview Invoices To preview one or more intercompany invoices, select the invoices in the grid and click Preview Invoices.

Your setting of Draft or Final for the Run Type option on the General tab determines whether the invoices are draft or final.

All invoices that you select for preview must have the same invoice template. The Invoice Template column in the grid displays the template assigned to each invoice. None in Invoice Template indicates that DPS will use its default invoice format.

Print Invoices To print one or more intercompany invoices, select the invoices in the grid and click Print Invoices.

Period This field displays the accounting period during which the invoice was created by the intercompany billing process.
Run Seq This field displays the file's posting sequence number, which is a unique internal number that identifies the posting.
To Company This field displays the company that will receive the invoice and from which you expect payment.
Invoice The information that displays in this column depends on whether the invoice was produced from a draft run or a final run (see the Run Type option on the General tab):
  • If the invoice is produced from a draft run, DPS displays <Draft> in this column.
  • If the invoice is produced from a final run, DPS displays the invoice number in this column.
Invoice Date This field displays the date specified on the Invoice Options dialog box when the invoice was generated.
Invoice Template This field displays the invoice template that will be used to preview or print the invoice.

If you did not select an invoice template in the Invoice Options dialog box and a default invoice template is not specified for the two companies on the Subledger Terms tab of the Intercompany Billing Setup form, this column contains None. In that case, DPS uses its default invoice format when you preview or print the invoice.

Invoice Project This field displays the project charged for the original labor and/or expense transaction(s) on a timesheet or expense report.
Invoice Phase This field displays the phase charged for the original labor and/or expense transaction(s).
Invoice Task This field displays the task charged for the original labor and/or expense transaction(s).
Amount This field displays the amount of money charged for the labor and/or expense transaction(s).
Currency If you use multiple currencies, this field displays the three-character code representing the currency in which the invoice amount is expressed. This is the billing currency of the intercompany invoice project.
Link Project This field displays the identifier of the intercompany invoice project. It is set up specifically to facilitate intercompany invoices and has no effect on the general ledger. You set up intercompany invoice projects on a company-by-company basis.
Link Phase This field displays the identifier of the intercompany invoice phase.
Link Task This field displays the identifier of the intercompany invoice task.
