Contents of the Void Payment Processing Form

You can specify bank information and the payment type, payee, and payment date.

If you use multiple companies, make sure that the payment was created in the active company (the company you select at login, or via the Change Company utility). This gives you the approval to access the payment file. It is also possible that it gives you the approval to access the bank code for the bank on which the payment is drawn.

Header

Use the header fields to specify the criteria for the payments to display in the Payments on File grid. This grid lists the payments that you might choose to void.

Field Description
Bank

This field displays the bank code for the bank to which the payment was originally posted. You can void a payment if it has not yet cleared at the bank. Enter a bank code in this field, or select one from the list. You can select only one bank code at a time.

If you use multiple companies, the available bank codes are those that are available to the active company.

If you use multiple currencies, the bank code controls the currency and amount of the payments that are shown in the Payments on File grid.

Payment Type Select the type of payment to show in the Payments on File grid.
Only include payments as of Use this field to specify a start date, to show only those payments that were issued as of a specific date. If you leave the field empty, the Payments on File grid displays all payments that are issued.
Void Date Enter or select the date the on which the payments are voided.

If DPS is configured to require that transaction dates fall within the current fiscal year or current fiscal period, the date you enter must meet that requirement.

Payments on File Grid

Use the Payments on File grid to see the checks and electronic funds transfer (EFT) payments that you can choose to void. The checks and payments that appear in the grid are based on the criteria that you specify in the header of the form.

Field Description
Payment This field displays the payment number.
Type This field displays the code for the payment type:
  • CD: Cash Disbursement
  • CV: AP Disbursement
  • EP: Employee Advance and Expense Processing
  • PP: AP Payment Processing
  • PY: Payroll Processing
Payment Date This field displays the payment's issue date.
Payee This field displays the name of the payee.
EFT This field displays an asterisk (*) if this was an electronic funds transfer payment.
Amount This field displays the payment amount. If you use multiple currencies, the bank code that you selected in the header controls the payment's currency.
