Firm List Columns Tab

Use the Columns tab to select or clear columns, change column sequence, provide new column labels, set column widths, or select number and date formats.

Most available columns show data from the Firms hub. In addition, you can use this tab to include columns that contain associated data. These are called "grid columns."

The list of columns in this topic includes all available grid columns. However, the grid columns that actually display on the Columns tab vary based on your selection in Grid Type on the General tab of the Options dialog box. The grid column labels begin with the grid type. For example, the each of the contact grid column labels begins with Contacts - (Contacts - Name, Contacts - Title, and so on).

Field Description
Firm Number This column displays the firm identifier.
Firm Name This column displays the name of the firm.
Market This column displays the market for the firm (for example, Commercial, Government, or Non-Profit).
Status This column displays the status of your relationship with the firm: Active, Dormant, or Inactive.
Relationship This column displays your relationship with the firm (for example, Consultant, Prospective, or Existing).
Row Count This column displays the total number of detail lines for each group, based on the sorting and grouping selections on the Sorting/Grouping tab. If the report groups data at more than one level, this column displays row counts for all grouping levels.
Is Client This column contains Y or N (Yes or No) to indicate whether or not the firm record is classified as a client in terms of projects or opportunities.

DPS classifies the firm based on settings in the Firms hub.

Is Vendor This column contains Y or N (Yes or No) to indicate whether or not the firm record is classified as a vendor in terms of projects or opportunities.

DPS classifies the firm based on settings in the Firms hub.

Website This column displays the firm's web site address.
Firm Create User This column displays the user ID of the person who created the firm record in the Firms hub.
Firm Create Date This column displays the date on which the firm record was created.
Firm Modify User This column displays the user ID of the person who most recently modified the firm record.
Firm Modify Date This column displays the date on which the firm record was most recently modified.
Concatenated Primary Address This column displays the firm's primary street address, city, state, and zip code. The report shows this information in a single column.
Primary Address Description This column displays the description of the firm's primary address (for example, Company Headquarters, Main Office, or Northeast Office).
Primary Address 1- 4 Primary Address 1 displays the firm's name. The other address fields display the firm's primary address information (street name and number, suite number, postal box number, and so on).
Primary City This column displays the city from the firm's primary address.
Primary State This column displays the two-character abbreviation for the state from the firm's primary address.
Primary Zip This column displays the zip code from the firm's primary address.
Primary Country This column displays the country from the firm's primary address.
Primary Phone This column displays the phone number at the firm's primary address.
Primary Fax This column displays the fax number at the firm's primary address.
Primary Tax Reg. # This column displays the tax registration number for the firm's primary address.
Primary Tax Country Code This column displays the tax country code for the firm's primary address.
Primary Address Create User This column displays the user ID of the person who created the primary address in the firm record.

Billing Phone This column displays the phone number at the firm's billing address.
Billing Fax This column displays the fax number at the firm's billing address.
Billing Tax Reg. # This column displays the tax registration number for the firm's billing address.
Billing Tax Country Code This column displays the tax country code for the firm's billing address.
Billing Address Create User This column displays the user ID of the person who created the billing address in the firm record.
Billing Address Create Date This column displays the date on which the billing address was created in the firm record.
Billing Address Modify User This column displays the user ID of the person who most recently modified the billing address.
Billing Address Modify Date This column displays the date on which the billing address was most recently modified.
Memo This column displays the text entered in the Notes field in the Firms hub.
Project Total Project Cost This column displays the total cost of the project. This field is also used in the SF255 Item 8e, which asks for "total construction cost of completed projects (or, where no construction was involved, the approximate cost of your work)."
Project Firm Cost This column displays the portion of the project cost for which your firm is responsible
Project JTD AR Amount This column displays the job-to-date amount billed for the project but not yet received. This amount includes taxes.
Project JTD Billed Amount This column displays the job-to-date billed amount for the project.

This amount equals (Labor + Fee + Consultants + Expenses + Units + Interest Billed). It does not include taxes.

Project JTD Direct Cost This column displays the job-to-date cost of direct expenses for the project.
Project JTD Hours This column displays the job-to-date hours for the project.
Project JTD Labor Cost This column displays the job-to-date labor cost for the project.
Project JTD Revenue Amount This column displays the job-to-date revenue amount for the project.
Project JTD Profit This column displays the job-to-date profit for the project.
Project JTD Total Actual Cost This column displays the job-to-date total actual cost for the project.
Project YTD AR Amount This column displays the year-to-date accounts receivable amount (billed but not yet received) for the project.
Project YTD Billed Amount This column displays the year-to-date billed amount for the project.
Project YTD Direct Cost This column displays the year-to-date direct cost for the project.
Project YTD Labor Cost This column displays the year-to-date labor costs for the project.
Project YTD Hours This column displays the year-to-date hours for the project.
Project YTD Revenue Amount This column displays the year-to-date revenue for the project.
Project YTD Profit This column displays the year-to-date profit amount for the project.
Project YTD Total Actual Cost This column displays the year-to-date actual cost amount for the project.
Promo. Project Total Project Cost This column displays the project's total cost for a promotional project.
Promo. Project Firm Cost This column displays the firm's total cost for a promotional project.
Promo. Project JTD Total Actual Cost This column displays the job-to-date total actual cost amount for a promotional project.
Promo. Project JTD Labor Cost This column displays the job-to-date labor cost amount for a promotional project.
Promo. Project JTD Hours This column displays the job-to-date hours for a promotional project.
Promo. Project YTD Total Actual Cost This column displays the year-to-date total actual cost for a promotional project.

Opportunity Est. Revenue This column displays the estimated revenue you expect to earn from the opportunity.
Opportunity Probability This column displays the probability that the opportunity will become a project. For example, if that probability is 80%, this column contains 80.
Opportunity Weighted Revenue This column displays the weighted revenue for the opportunity: estimated revenue x Probability.
Opportunity Days Open This column displays the number of days the opportunity has been open.
Custom Currency Code If you use multiple currencies, this column displays the currency code used for user-defined currency fields.
Disadvantaged Business This column contains a Y or N (yes or no) to indicate whether or not the firm is a disadvantaged business.
Small Business This column contains a Y or N (yes or no) to indicate whether or not the firm is a small business.
Veteran Owned This column contains a Y or N (yes or no) to indicate whether or not the firm is a small business that is owned by a veteran.
Service Disabled Veteran Owned This column contains a Y or N (yes or no) to indicate whether or not the firm is a small business that is owned by a disabled veteran.
Minority Owned This column contains a Y or N (yes or no) to indicate whether or not the firm is a minority business.
Woman Owned This column contains a Y or N (yes or no) to indicate whether or not the firm is a business owned by a woman.
HBCU or Minority Institution This column contains a Y or N (yes or no) to indicate whether or not the firm is an historically black college or university (HBCU).
Alaska Native This column contains a Y or N (yes or no) to indicate whether or not the firm is an Alaskan Native.
Specialty If the firm is classified as a vendor, this column contains the vendor specialty (for example, Industrial, Retail, or Municipal).
Prior Work This column contains a Y or N (yes or no) to indicate whether or not the firm is classified as a vendor and has done work for your enterprise in the past.
Recommend This column contains a Y or N (yes or no) to indicate whether or not the firm is classified as a vendor, has done work for your enterprise in the past, and is recommended for future work.
Specialty Description If the firm is classified as a vendor, this column contains additional information about that firm's specialty.
HUB Zone This column contains Y or N (Yes or No) to indicate whether or not the firm is part of the HUB Zone program for small businesses.
8 (a) This column contains Y or N (Yes or No) to indicate whether or not the firm is part of the 8 (a) business development program for small and disadvantaged businesses.
Annual Revenue This column displays the annual revenue of the firm.
Employee Count This column displays the number of employees of the firm.
Competitor This column contains Y or N (Yes or No) to indicate whether or not the firm is a competitor.
Government Agency This column contains Y or N (Yes or No) to indicate whether or not the firm is a government agency.
Vendor Number This column displays the firm number for the vendor you select. If you upgraded to DPS from Vision, a vendor could have both a vendor number and a firm number. In that case, this field displays the vendor number.
Approved for use in processing This column indicates if the vendor is approved for use when processing accounting transactions. This column displays if you use DPS Accounting.
Vendor Type This column displays the vendor type. The value for this field is set up on the Types tab of Settings > Advanced Accounting > System AP in the DPS Desktop.
Concatenated Payment Address This column displays the vendor’s payment street address, city, state, and ZIP code. This information is displayed in a single column.
Payment Address Description This column displays the description of the vendor's payment address (for example, Company Headquarters, Main Office, or Northeast Office).
Payment Address 1-4 Payment Address 1 displays the vendor’s name. The other address fields display the vendor’s primary address information (street name and number, suite number, postal box number, and so on).
Payment City This column displays the city from the vendor’s primary address.
Payment State This column displays the two-character abbreviation for the state from the vendor’s primary address.
Payment Zip This column displays the ZIP from the vendor’s primary address.
Payment Country This column displays the country from the vendor’s primary address.
Payment Terms This column displays the default payment terms to use each time a voucher is entered for a vendor (such as the date when the payment occurs or when DPS schedules the voucher payment).
Regular Account This column displays the account number that receives the debit (explicit posting) when you post vouchers to a regular project for the vendor. This account is a direct or reimbursable expense account.
Indirect Account This column displays the account number that receives the debit (explicit posting) when you post vouchers to an overhead or promotional project for a vendor. This account is an indirect expense account.
Default Expense Code This column displays the expense code that serves as the default when you enter an AP voucher or AP disbursement for the vendor in Transaction Entry. This drop-down includes all expense codes defined on the Expense Codes tab in Settings > Advanced Accounting > System AP. This column displays only if you select the Enable Expense Codes on the Accounts Payable tab in Settings > Advanced Accounting > System AP in the DPS Desktop.
Discount Percent This column displays the percentage of the total voucher amount that you want to credit to the discount account when you pay the total amount due within the specified discount period.
Discount Period This column displays the number of days that the discount applies.
Discount Code This column displays the discount code for a vendor.
1099 Required This column indicates that a vendor should receive a 1099 form at the end of the calendar year.
Federal ID This column displays the 11-digit number assigned to the vendor by the federal government for tax purposes. If the vendor is a consultant, this number is usually the consultant's Social Security number.
Type of TIN This column displays the type of TIN (tax ID number) of the vendor. Possible values are 1 (FEIN) and 2 (SSN, ITIN, ATIN).
Paid This Year This column displays the amount paid to this vendor during the current calendar year. The amount excludes credit card payments made to a vendor in AP Disbursement Transaction Entry.
Paid Last Year This column displays the amount paid to this vendor during the previous calendar year. The amount excludes credit card payments made to a vendor in AP Disbursement Transaction Entry.
Match Method This column displays the matching method to use to generate AP vouchers from purchase orders for a vendor. The values for this column are 2-way Match (for when the purchase order must match an existing invoice for DPS to generate an AP voucher) or 3-way Match (for when the purchase order and the matching invoice must also match a receiving record in DPS to generate an AP voucher).
RFQ/PO Template This column indicates if the vendor is associated with a custom RFQ template or a custom PO template.

If the value in this column is PO Template, DPS looks first at the employee record of the buyer to find a template. If no template is assigned to the buyer, DPS looks at the vendor record. If no template is assigned to the vendor, DPS uses the _DEFAULT template.

If the value in this column is RFQ Template, DPS looks only at the vendor record to find a template. If no template is assigned to the vendor, DPS uses the _DEFAULT template.

Contact

This column displays the contact used as the default contact for purchase orders that are entered for this vendor.

Bank ID This column displays the bank identification number for electronic fund transfer of a vendor.
Account Number This column displays the account number for electronic fund transfer of a vendor.
Status This column displays the status of the electronic fund transfer to a vendor.
Remittance This column indicates if the vendor requires a printed copy (remittance advice) of the transactions in the EFT file.
Email This column displays the email address of the contact (associated with the vendor) to whom the remittance advice is emailed.
Addenda This column displays the addenda record that will be written to the bank file immediately following the EFT entry detail record.
ClieOp This column indicates that the vendor will be paid by ClieOpe transfers.
IBAN This column displays the international bank account number (maximum 34 characters) for a vendor. This is used to transmit the payment to a payee when the .xml file is sent to the bank.
BIC This column displays the bank identification code (either 8 or 11 characters) for a vendor. This is used to transmit the payment to a payee when the .xml file is sent to the bank.
Bank Name This column displays the name of the vendor’s bank to which wires are sent, of from which direct debits originate.
Concatenated Bank Address This column displays the vendor bank’s payment street address, city, state, and ZIP code. This information is displayed in a single column.
Bank Address 1-4 Bank Address 1 displays the vendor bank’s name. The other address fields display the bank’s primary address information (street name and number, suite number, postal box number, and so on).
Bank City This column displays the city from the vendor bank’s primary address.
Bank State This column displays the state from the vendor bank’s primary address.
Bank Zip This column displays the ZIP code from the vendor bank’s primary address.
Bank Country This column displays the country from the vendor bank’s primary address.
Bank ID Type This column displays the type of bank identifier that is entered in the Bank ID field (for example, ABA/Routing). The value for this field is configured in Settings > Labels and Lists.
Wire Bank ID This column displays the vendor bank’s identification number in this field.
Account ID Type This column displays the type of account number that is entered in the Account ID field. The value for this field is configured in Settings > Labels and Lists.
Account ID This column displays the vendor's account identification number in this field.
Payment Notes This column displays the notes related to the payment.
Separate Checks This column indicates that a separate check is printed for each voucher submitted by the vendor. This column is available when Approved for use in processing option is selected.
Account Number This column displays the vendor-assigned account number. This is the customer number that your vendor uses to identify your account. This column is available when Approved for use in processing option is selected.
Default Tax Code This column displays the default tax code used in Transaction Entry to calculate taxes for accounts payable vouchers and accounts payable disbursements for this vendor. This field displays if the Enable Tax Auditing Feature option on the Tax Auditing tab in Settings > Accounting > Company Settings in the DPS Desktop.
Organization This column displays the organization that is associated with the vendor.
Activities - Completed The activity can be Pending or Completed.
Activities -Type This column displays the activity type (for example, Phone Call, Meeting, or Email).
Activities - Subject This column displays a brief description of the activity (for example, Initial Consultation, Planning Meeting, Customer Lunch, or Follow-up Visit).
Activities - Start Date This column displays the date and time that the activity is scheduled to begin.
Activities - Priority This column displays the priority ranking that indicates the relative importance of individual activities: High, Medium, or Low.
Activities - Owner This column displays the name of the employee who is responsible for the activity.
Activities - Primary Firm This column displays the name of the primary firm associated with the activity.
Activities - Primary Contact This column displays the firm contact associated with the activity. The contact can be a participant in the activity, or the activity can be a task your firm undertakes for the contact.
Activities - Primary Contact Bus. Phone This column displays the firm contact's work telephone number.
Activities - Opportunity This column displays the name of the opportunity associated with the activity.
Activities - Project This column displays the name of the project associated with the activity.
Activities - Marketing Campaign This column displays the marketing campaign associated with the activity.
Activities - Location This column displays the location where the activity occurred or will occur.
Activities - Notes This column displays additional text that describes the activity.
Alias - Firm Alias This column displays a firm alias. An alias is an alternate name for a firm. It can be an abbreviated version of the firm's legal name, an alternate spelling of the firm's legal name, or an entirely different name.
Associations - Name This column displays the name of a firm that is associated with the current firm.
Associations - Description This column displays a description of the relationship of the current firm to the associated firm (for example, Subsidiary, Parent Company, or Affiliate).
Associations - Relationship Description This column displays additional text describing the relationship of the current firm to the associated firm.
Contacts - Name This column displays the name of the contact at the firm.
Contacts - Title This column displays the contact's title (for example, Director, Project Manager, or CEO).
Contacts - Status This column displays the contact's current status: Active or Inactive.
Contacts - Phone This column displays the contact's business telephone number.
Contacts - Fax This column displays the contact's fax number.
Contacts - Pager This column displays the contact's pager number.
Contacts - Mobile This column displays the contact's mobile (cellular) phone number.
Contacts - Home This column displays the contact's home telephone number.
Contacts - EMail This column displays the contact's email address.
Employees - Employee This column displays the employee's number.
Employees - Name This column displays the employee's full name.
Employees - Relationship This column displays the employee's relationship to the firm (for example, Client Manager, Contact Manager, or Friend).
Employees - Relationship Description This column displays additional text describing the relationship between the firm and the employee.

This column contains one of the following:

  • The address (URL) for a Web site, intranet site, file transfer (FTP) site, and so on. If you preview the report, you can click the link to go to that address.

Opportunities - Is Client This column contains a Y or N (yes or no) to indicate whether or not the firm is classified as a client for opportunities.
