Attendees Tab of the Activity Dialog Box

Use the Attendees tab to specify the people who are assigned to an activity.

Field Description
Attendees Drop-down Click the drop-down arrow on a grid header to complete any of the following actions:
  • To print grid data, click Print. When the Print Preview form displays, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into this field, in the sequence that you want them to display.

Not all options are available on all grids.

Insert Click this option to add an attendee to the activity. On the Employee lookup, select one or more employees to add as attendees to an activity. The employees that you select display in the Attendees grid on this tab.
Delete Select an attendee in the grid, and then click this option to delete an attendee from an activity. To select an attendee in the grid, click the first (empty) cell or the Title cell in the attendee's row in the grid.
Name When you add attendees to the Attendees grid, the attendee's name (as entered in the Employee Info Center) displays in this field. When you use the Activity Calendar or Activity Manager to schedule an activity, your name is automatically added to the Attendees grid, based on your Vision log-on credentials. When you schedule an activity from the Employee Info Center, that employee's name and title is automatically added to the Attendees grid.

When you click a name in this column, it opens the Employee Info Center record for that attendee.

Title When you add attendees to the Attendees grid, the attendee's job title (as entered in the Employee Info Center) displays in this field. When you use the Activity Calendar or Activity Manager to schedule an activity, your name and title is automatically added to the Attendees grid. When you schedule an activity from the Employee Info Center, that employee's name and title is automatically added to the Attendees grid.
Notify Attendees Select this check box if you want to notify attendees when you schedule or modify an activity. When you select this check box and click OK, the following things happen:
  • The Invite Attendees dialog box displays. Use this dialog box to send an email notification to the activity attendees.
  • All attendees are listed in the To field of the email message.
  • The subject of the activity displays in the Subject field of the email message.
  • The activity date and time, and the associated client, contact, opportunity, and project names (if applicable) display in the body of the email message. You can enter additional information before you send the email.

When you schedule an activity, Vision remembers the Notify Contact setting that you selected and applies it for the next activity that you schedule. You can modify the setting for each activity that you schedule.
