Use the Contacts tab to associate multiple contacts with an activity. When you schedule an activity, you can enter one contact name in the
Primary Contact field on the Detail tab of the Activity dialog box. Then you can use this tab to associate additional contacts with the activity.
This is useful when you have more than one contact at a
client firm who needs to be included in the activity.
This tab does not display when you create Project Planning tasks or activities in the Resource Planning application.

Contacts Drop-down

Click the drop-down arrow on a grid header to complete any of the following actions:
- To print grid data, click
Print. When the Print Preview form displays, click
to send the grid data to your default printer.
- To export grid data to an Excel spreadsheet, click
Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the data, or to save the spreadsheet file locally.
- To turn on grouping for a grid, click
Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into this field, in the sequence that you want them to display.
Not all options are available on all grids.

Insert
|
Click this option and on the Contact Lookup dialog box, select one or more contacts to add to the activity. The contacts that you select are displayed in the Contacts grid on this tab. When you click
OK to schedule the activity,
Vision inserts the activity details in the Activities grid on the Activities tab of the corresponding Contact Info Center records.

Delete
|
Select a contact in the Contacts grid, and click this option to remove the contact from the activity. To select a contact in the grid, click the first (empty) cell or the
Business Phone cell in the contact's row. If you click the contact's name, it opens the Contact Info Center.
When you delete a contact from an activity,
Vision automatically deletes the activity from the Activities grid on the Activities tab of the corresponding Contact Info Center record. In addition, when you delete an activity from the Activities grid in a Contact Info Center record, that contact's name is automatically deleted from the Contacts grid on the Contacts tab of the Activity dialog box.

Name
|
This field displays the contact's name as it displays in the corresponding Contact Info Center record. If you enter a contact name in the
Primary Contact field on the Details tab of the Activity dialog box, that contact name is automatically entered here as well.

Business Phone
|
This field displays the contact's business phone number as it displays in the corresponding Contact Info Center record.

Notify Contacts
|
Select this option if you want to notify contacts when you schedule or modify an activity. When you select this check box and click
OK, the following things happen:
- The Invite Attendees dialog box opens. Use this dialog box to send an email notification to the contacts who are activity attendees.
- All attendees are listed in the
To field of the email message.
- The subject of the activity displays in the
Subject field of the email message.
- The activity date and time, and the associated
client, contact, opportunity, and
project names (if applicable) display in the body of the email message. You can enter additional information before you send the email.
When you schedule an activity,
Vision remembers the
Notify Contact setting that you selected and applies it for the next activity that you schedule. You can modify the setting for each activity that you schedule.
