Files Tab of the Equipment Form

Use this tab to link files or URLs (web sites, FTP sites, email addresses, and news groups) to an equipment item.

Files Grid

This grid displays the files and URLs that you link to an equipment item.

Files Grid Toolbar

Field Description
<Drop-down - do not include this title> Click the drop-down arrow on a grid header to complete any of the following actions:
  • To print grid data, click Print. When the Print Preview form displays, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into this field, in the sequence that you want them to display.

Not all options are available on all grids.

Insert File Click this option to link a file to the equipment item. On the Open dialog box, select the file and click Open. The path for the file that you selected displays as a hyperlink in the File Path column in the Files grid.

To ensure that others can view a linked file, use the full UNC path rather than a mapped drive or your local C:\ drive. For example, use \\ProjectServer\Pictures\ABC_Photo.jpg rather than G:\ABC_Photo.jpg.

Insert URL Click this option to link a URL to the equipment item. On the Select URL dialog box, select the URL type and enter the URL. You can link web sites, FTP sites, email addresses, and news groups to the equipment item. The URL that you enter displays as a hyperlink in the File Path column in the Files grid.
Delete To delete a file or URL in the Files grid, select the row of the file or URL to delete and then click this option. It is immediately deleted from the grid.

Files Grid Fields

Field Description
Description After you upload a file or add a URL, enter a description for it in this field. You must enter a description before you can save the equipment item.
File Path After you link a file or URL, it displays in this field as a hyperlink. The complete path for a file is displayed. Click the hyperlink to open the file or URL.

If a previously linked file or URL has been moved or no longer exists, the hyperlink no longer works.

To edit a file path or URL, right-click in this field and then click the Edit option. This disables the hyperlink in the field, so you can now edit the file path or URL in the field.

When you open a file by clicking the hyperlink, you can modify and save the file. This modifies the original file, wherever it is located on your workstation or network drive. If you modify the file and save it with a new file name, the new file is saved in the same folder as the original file on your workstation or network drive. The original file remains linked to the equipment item and is not replaced with the new saved-as file.

Graphic This check box is selected automatically if the uploaded file is a graphics file, such as a .jpg or .png file. The file path name cannot contain any commas if you plan to use the linked graphic in certain merged proposals.
