Timesheet Hours Tab of Timesheet Form

Use the Timesheet Hours tab to enter hours for one or more employees.

Header Information

Field Description
Search Use Search to search for and open timesheets (for the selected period) to which you have access. The Search field displays only if you have Group, Company, or System access to the Timesheet application.

To search for and open timesheets, use the Quick Find feature or click to use the Timesheet Employee Selection Lookup.

Timesheet Status This field displays the current status of the timesheet: In Progress, Submitted, Approved, or Posted.
Period Ending This field displays the end date of the timesheet period, which is the last day for which you can charge time to this timesheet.
Week Number/Timesheet Period Number

If timesheet period numbers are enabled for the active company, this field displays the period number for the timesheet. If the company has weekly timesheets, the field label is Week Number. If the company has a timesheet period other than weekly, the field label is Timesheet Period Number.

If timesheet period numbers are not enabled, this field is not displayed.

Period Status This field displays the status of the selected timesheet period: Open or Closed.

Grid Options

Field Description
Sort Click this option to sort your timesheet entries in ascending order by project, phase, task, and labor code.
Insert Click this option to insert a new row below the currently selected row on the Timesheet grid.
Copy Click this option to copy the project/phase/task/labor code/labor category values from the currently selected row to a new row. Vision does not copy any hours or comments entered for that row.

To copy all data (excluding hours) from an existing timesheet to a new timesheet, click Copy on the Timesheet toolbar.

Reverse Click this option to correct the hours entered for a project, phase, task, or labor code timesheet entry after it was submitted. Reversing a timesheet row creates a negative entry for the initial hours, allowing you to enter a new line item with the correct information.
Delete Click this option to delete all data in the currently selected row.

Timesheet Grid

Field Description
Project Enter the project to which you are charging time.

Depending on the settings chosen by your system administrator, the Project field, the Project Name field, or both display:

  • If Project displays, enter the project number.
  • If Project Name displays, enter the project name.
  • If both fields display, enter the project number and the project name displays automatically.

You can enter a project number or name directly in the field, use the Quick Find feature, or click to use the Project Lookup.

Project Name Enter the project to which you are charging time.

Depending on the settings chosen by your system administrator, the Project field, the Project Name field, or both display:

  • If Project displays, enter the project number.
  • If Project Name displays, enter the project name.
  • If both fields display, enter the project number and the project name displays automatically.

You can enter a project number or name directly in the field, use the Quick Find feature, or click to use the Project Lookup.

Phase Enter the phase to which you are charging time.

Depending on the settings chosen by your system administrator, the Phase field, the Phase Name field, or both display:

  • If Phase displays, enter the phase number.
  • If Phase Name displays, enter the phase name.
  • If both fields display, enter the phase number and the phase name displays automatically.

You can enter a phase number or name directly in the field, use the Quick Find feature, or click to use the Phase/Task Lookup.

Phase Name Enter the phase to which you are charging time.

  • If Phase displays, enter the phase number.
  • If Phase Name displays, enter the phase name.
  • If both fields display, enter the phase number and the phase name displays automatically.

Task Enter the task to which you are charging time.

Depending on the settings chosen by your system administrator, the Task field, the Task Name field, or both display:

  • If Task displays, enter the task number.
  • If Task Name displays, enter the task name.
  • If both fields display, enter the task number and the task name displays automatically.

You can enter a task number or name directly in the field, use the Quick Find feature, or click to use the Phase/Task Lookup.

Task Name

Enter the task to which you are charging time.

Depending on the settings chosen by your system administrator, the Task field, the Task Name field, or both display:

  • If Task displays, enter the task number.
  • If Task Name displays, enter the task name.
  • If both fields display, enter the task number and the task name displays automatically.

You can enter a task number or name directly in the field, use the Quick Find feature, or click to use the Phase/Task Lookup.

Labor Code Enter the labor code to which you are charging time. This field displays if Show Labor Code is selected on the Setup Tab of Company Timesheet Configuration.

You can enter a labor code directly in the field, use the Quick Find feature, or click to use the Labor Code Lookup.

Your system administrator can set up default labor codes for individual Timesheet users. If one is defined for you, it automatically appears in the Labor Code field on your timesheet, and you may or may not be allowed to change it. See the help topic about the Time tab of the Employee Info Center for more information.

If your system administrator or project manager defines budgeted labor codes for individual projects and you select a non-budgeted code, you might receive a warning or error message when you submit your timesheet.

  • If you receive a warning, you can save the timesheet, but first verify that the labor code you have entered is appropriate for the project.
  • If you receive an error, you must change the labor code.
Labor Category This field automatically displays the labor category to which you are assigned—for example, Principle, Project Manager, or Engineer. Use the Labor Category drop-down list to select a different labor category for a specific labor charge, if necessary.

This field displays under the following conditions:

  • You are using the Vision Accounting, Vision Billing, or Vision Resource Planning applications.
  • Show Labor Category is selected on the Setup Tab of Company Timesheet Configuration.
Payroll Tax Locale This field displays the project's payroll tax locale (for example, California, Massachusetts, or New York). If this field displays, employees can change the payroll tax locale.

Payroll tax locale information displays under the following conditions:

  • You are using Vision Payroll and Allow Project's tax locale to be overridden on Timesheet is selected in Payroll Configuration.
  • The employee's Locale Method is set to Follow Project Locale on the Payroll tab of Employee Info Center.
Day/Date The Day/Date fields correspond to the calendar days in the selected timesheet period.

You can enter whole hours (1.00), partial hours (.50), or a combination of whole and partial hours (1.50).

Any hours you enter in Day/Date are classified as regular. Enter overtime hours in the OT1 and OT2 fields. When you enter overtime, the corresponding Day/Date field is shaded.

If you are required to enter start/end times for hours worked, click in Day/Date to open the Timer dialog box, where you can select start/end times.

Regular Enter the number of regular hours worked. You can enter whole hours (1.00), partial hours (.50), or a combination of whole and partial hours (1.50).
Ovt Enter the number of overtime hours worked. You can enter whole hours (1.00), partial hours (.50), or a combination of whole and partial hours (1.50).

Your company can set a standard overtime rate (Ovt) and a secondary overtime rate (Ovt-2). If you do not know which rate to choose or how to enter overtime, see your system administrator.

This field displays if Allow users to enter overtime is selected on the Setup Tab of Company Timesheet Configuration.

Ovt-2 Enter the number of secondary overtime hours worked. You can enter whole hours (1.00), partial hours (.50), or a combination of whole and partial hours (1.50).

Your company can set a standard overtime rate (Ovt) and a secondary overtime rate (Ovt-2). If you do not know which rate to choose or how to enter overtime, see your system administrator.

This field displays if Allow users to enter overtime is selected on the Setup Tab of Company Timesheet Configuration.

Start/End Time If you are required to, enter start/end times for hours worked. Select start/end times from the Start/End Time drop-down lists or click in the Day/Date field.

This field displays under the following conditions:

  • Enable start/end time feature is selected on the Setup Tab of Company Timesheet Configuration.
  • Require Employee to Enter Start and End Times is selected on the Time tab of the Employee Info Center.

Depending on how Limit timesheet entry to (tenth, quarter, half, whole) hour increment is configured on the Setup tab of Company Timesheet Configuration, Vision calculates your hours to the nearest tenth, quarter, half, or whole hour.

Comment Enter a comment that applies to the hours charged for the selected day and project/phase/task/labor code combination.

Enter a comment directly in this field, or select an existing comment from the Comment drop-down list, which includes:

  • Comments previously entered on this timesheet.
  • Comments copied from another timesheet.
  • Global comments entered on the Global Comments tab of Company Timesheet Configuration.

When the Allow Employee to enter meals and breaks option is selected on the Time tab of the Employee Info Center, you can click Editto access the Vision Text Editor and enter information.

When the Allow Employee to enter meals and breaks option is not selected, you can enter information either directly into the Comment field or into the accompanying Global Comments field. The formatting resets to plain text when you enter information directly into the Comment field.

Status If you are using the Timesheet Line Item Approval feature, the approval status of individual timesheet entries displays here: Unapproved, Approved, Rejected, or Approval not required.

To display the approval status for a timesheet entry, click in the corresponding Day/Date field.

Meal Start/End Time If you are required to, enter the start and end times for meals. Click the appropriate Day/Date field and select start/end times from the Meal Start/End Time drop-down lists. If your start/end times for meals and regular hours don't overlap, you can enter hours for both on the same line.

For example, you work eight regular hours on a single project, phase, task, labor code combination, and you take a thirty-minute meal break after the first four hours. You can:

  • Enter the start/end times for the first four hours and meal break on the same line.
  • Click Copy to copy the project/phase/task/labor code/labor category values from the existing row to a new row.
  • Enter start/end times for the remaining four regular hours in the new row.

This field displays under the following conditions:

  • Enable start/end time feature is selected on the Setup Tab of Company Timesheet Configuration.
  • Require Employee to Enter Start and End Times is selected on the Time tab of the Employee Info Center.
  • Allow Employee to Enter Meals and Breaks is selected on the Time tab of the Employee Info Center.
Number of Breaks Taken

If you are required to, enter the number of breaks you took. Click the appropriate Day/Date field and enter the number of breaks taken.

This field displays under the following conditions:

  • Enable start/end time feature is selected on the Setup Tab of Company Timesheet Configuration.
  • Require Employee to Enter Start and End Times is selected on the Time tab of the Employee Info Center.
  • Allow Employee to Enter Meals and Breaks is selected on the Time tab of the Employee Info Center.
Meal-2 Start/End Time

If you are required to, enter the start and end times for any second meal time that you took. Click the appropriate Day/Date field and select start/end times from the Meal-2 Start/End Time drop-down lists.

If your start/end times for meals and regular hours don't overlap, you can enter hours for both on the same line.

For example, say you work twelve hours on a single project, phase, task, labor code. During that time, you take a thirty-minute meal break after every four hours. You can:

  • Enter the first four hours and first meal break on one line.
  • Click Copy to copy the project/phase/task/labor code/labor category values from the existing row to a new row.
  • Enter the second group of four hours and second meal break on the new line.
  • Click Copy to copy the project/phase/task/labor code/labor category values from the existing row to a new row.
  • Record the four remaining hours on a third line.

This field displays under the following conditions:

  • Enable start/end time feature is selected on the Setup Tab of Company Timesheet Configuration.
  • Require Employee to Enter Start and End Times is selected on the Time tab of the Employee Info Center.
  • Allow Employee to Enter Meals and Breaks is selected on the Time tab of the Employee Info Center.

Display Fields (Lower Left)

Field Description
Display Fields

The lower left section of the Timesheet form displays timesheet information for the currently selected row. The following information displays:

  • Project — Project number and name
  • Phase — Phase number and name
  • Task — Task number and name
  • Labor Code — Labor code and description
  • Client — Client name

When you click a Day/Date field on the Timesheet form, the following information displays:

  • The selected date displays in the lower right section of the Timesheet form.
  • The approval status of the selected entry displays in the lower right section of the Timesheet form, if you are using the Timesheet Line Item Approval feature.

Comments

Field Description
Global Comments Use the Global Comments box to enter, edit and format comments. Click Edit to use the Vision Text Editor to enter information.

This field only displays when the Allow Employee to enter meals and breaks option is not selected on the Time Tab of the Employee Info Center.
