Alerts and Invoice Approvals

The invoice approvals process and associated alerts are configured in Vision. When alerts are in use, Vision can send an alert (email, dashboard, or both) for each action as it is completed during the invoice approval process: submitted, approved, rejected, or unsubmitted. These alerts automatically notify the designated employees that there is an invoice that requires their attention.

For each invoice approval action, you can select the employees to be alerted, how they will be alerted, and the alert frequency (alerts sent per invoice or per billing session). These settings are specified for the invoice approval process in Vision's Configuration > Billing > Invoice Approval Process. Navigator automatically applies these same settings to the approval and rejection actions that you can complete while using the Draft Invoice Pending Approval features on the Invoices tab.

When email alerts are sent for invoices that have been submitted, the alert includes a hyperlink to the Invoice Approvals application in Vision Billing. However, if the Email tab in Configuration > General > System Settings includes a Navigator URL, then links to both Vision and Navigator display in the email. You can click the Vision link to open Invoice Approvals, or the Navigator link to open Navigator where you can then select the respective project.
