Checklist: Configuring Vision for Navigator Timesheets

These options are configured within Vision by the system administrator and impact the information that displays in Navigator timesheets.

Vision Setting Impact on Navigator Timesheet Vision Menu Path
Level This option determines the employee's access to the Navigator Timesheet application. However, it is important to note that Navigator only allows access to an employee's own timesheet, regardless of the rights that are assigned in Vision.

The level options include:
  • Staff - Access to employee's personal timesheets only.
  • Group - Employee has access to timesheets for all employees within a particular group. Use the Groups grid to define the Timesheet groups whose timesheets this employee can access.
  • Company - Employee has access to timesheets for all groups and employees within a particular company. This option applies if your firm uses the Multicompany feature.
  • System - Employee has access to timesheets for all groups and employees. You must designate at least one employee in your firm to have System level access.

Disable Timesheet Revision Auditing This option displays when the Enable timesheet revision auditing option is selected in Timesheet Audit tab of Company Timesheet Configuration. Select the Disable Timesheet Revision Auditing option to disable timesheet revision auditing for the current employee. Typically, timesheet and billing transfer auditing are enabled for all employees within a company; selecting this option overrides the company setting when there is an employee who is an exception and does not require revision auditing.
Administrator Options These options configure the timesheet administrator options, including:
  • Require timesheets to be approved before posting – Select this option to require that submitted timesheets be approved before they can be posted to the database. Only users with Group, Company, or System access to the Timesheet application can approve timesheets.
  • Treat inactive projects/plans as dormant – Select this option to prevent users from entering inactive projects, phases, or tasks on their timesheets.
  • Autopopulate timesheet with resource planning assignments – If your firm uses the Vision Resource Planning application, select this option if you want to automatically populate employees' timesheets with data from your project plans. Each time an employee opens a new or in progress timesheet, Navigator automatically updates the timesheet with data from the Resource Planning application.

User Options These options configure if the user can resubmit timesheets, enter overtime, or must sign the timesheet before submitting:
  • Allow staff users to resubmit timesheets – Select this option to allow staff users to change submitted timesheets and resubmit them for processing.
  • Allow users to enter overtime – Select this option to enable the timesheet overtime fields (Ovt and Ovt-2). These fields allow users to enter standard and secondary overtime hours.
  • Require electronic signature when submitting timesheets – Select this option to require users to enter a password when they submit their timesheets. The system administrator establishes passwords in Security Configuration and enters the message that displays after the timesheet is submitted on the Miscellaneous tab of Company Timesheet Configuration.
Show Timesheet Left Grid Columns This group box lists the columns that are available for use on a timesheet. The system administrator uses these options to select the actual columns that display on the employee timesheets, as well as the type of data that is available for each column. For example, if you select the Labor Code column to display, the user can then select Name or Number for the data type.
Check Hours Against Expected Select this option to require Navigator to check the total hours entered on a user's timesheet against the total hours the user is expected to enter for a labor period. Navigator only checks regular hours, not overtime hours. The checks are performed when users submit their timesheets. The expected regular hours are calculated by multiplying the number of days in the labor period by the expected hours entered in Hours/Day on the Personal tab of Employee Info Center. Navigator can either warn users about discrepancies, or it can give them an error message.
Revision Explanations Use these options to enable timesheet audits and explanations for revisions that occur after a timesheet is saved or submitted.

A history of the revisions within the timesheet displays on the Revision Audit History dialog in Vision > Timesheet. This information is also used on the Timesheet Audit Detail report, which is useful in the event of an audit. Apply Project Access to Timesheets Select this option for the list of available projects to be filtered by the user's role's project record level access (set up on the same tab). Configuration > Security > Roles > Record Access
·Payroll Tax Locale This option displays when using Vision > Payroll and the Allow project's tax locale to be overridden on timesheet option is selected on the General tab of Vision > Payroll > Setup. This column displays the payroll tax locale for the timesheet entry. Payroll
The Limit timesheet entry to __ hour increment This setting controls what rounding and decimal settings apply to the employee's entry. Configuration > Time & Expense > Company Timesheet
Overtime - 2 This field displays in the lower left portion of the timesheet if Secondary Overtime is selected. Configuration > Accounting > System Settings > General
