Expense Report Status

Expense report status values display on the Expense Report panel and on each Expense Report form. The expense report status is important because it indicates where the expense report is in the processing work flow. This information allows you to keep track of the expense reports that you are currently working on, those that have been submitted, and those that have been paid.

Your editing and approval rights determine the changes you can make to an expense report. These changes may result in an update to the report's status. When you open Expense Reports, the Expense Reports panel defaults to display all of your expense reports. You can use different features on this panel to organize the expense reports into smaller groupings by status.

Refer to the following descriptions for further information and processing details for each status.

Field Description
Expense Report Status The expense report status indicates where the expense report is in the processing work flow.

When the report status can be edited, an Unlocked icon displays next to the report in the Expense Report panel to indicate that you can edit the report. A Locked icon displays when the report is locked or you do not have the appropriate access rights to make changes.

In Progress Lists all expense reports with a status of In Progress:
  • The expense report is open and is in the process of being completed.
  • You can open, copy, delete, edit, print, and submit the expense report.
  • The expense report has not yet been submitted for processing.
Unpaid Lists all unpaid expense reports in this order: In Progress, Approved, Posted.
  • The expense report has not been paid.
  • The access rights for each type of status apply. See the In Progress, Approved, and Posted field descriptions and the Administration: Level and Editing and Global options that are detailed on the Checklist: Configuring Vision for Navigator Expense Reports online help topic for more information.
Posted Lists all posted expense reports:
  • You can open, copy, and print the expense report.
  • You cannot edit, delete, submit, or approve the expense report.

The report is considered paid in full when the Total Due amount on the report, as of today, is equal to payments made for the expense report. Multiple payment records and voided payments for the report need to be factored into the paid in full determination.

Paid Lists all expense reports with a status of Posted and Paid as of today. The report is considered paid in full when the Total Due amount on the report, as of today, is equal to payments made for the expense report. Submitted Lists all expense reports that have been submitted for processing:
  • You can open, copy, and print the expense report, but you cannot enter or edit expense report data unless your system administrator has given you security access to edit and resubmit expense reports. See the Administration: Level and Editing and Global options that are detailed on the Checklist: Configuring Vision for Navigator Expense Reports online help topic for more information.
  • You cannot delete the expense report.
  • The expense report has not yet been approved.
Approved Lists all approved expense reports:
  • You can open, copy, and print the expense report, but you cannot enter or edit expense report data unless your system administrator has given you rights to edit resubmit approved expense reports.   • You cannot delete the expense report.
  • The expense report is ready to be posted.

This option only displays if the Require expense reports to be approved before posting option is selected inVision > Configuration > Company > Expense Report.
