Invoices Grid Columns

Use the Invoices grid to review information about the invoices that are associated with the current project. This grid provides an overview of general information, including dates, applied retainers, retainage withheld, and associated credit memos. You can also use this grid to view, enter, or edit details and comments related to the invoices.

This grid lists the invoices, by date, that were posted for the project.
Field Description
Invoice This column displays the invoice number.
Invoice Date This column displays the invoice date.
Invoice Total This column displays the invoice amount. This amount includes fee, labor, expense, consultant, taxes, interest, retainage amounts, and all add-ons except retainer.
Applied Retainer This column displays the amount of the retainer that is applied to the invoice. This column only displays if retainers are enabled in Configuration > Accounting > System Settings.
Amount Paid This column displays the sum of all payment amounts that have been applied to the invoice, including retainers.
Credit Memos This column displays the sum of the credit memos that have been applied against the invoice.
Retainage This column displays the retainage amount for the invoice that is not currently due. This amount is affected by retainage amounts entered on credit memos. This column only displays if retainage enabled in Configuration > Accounting > System Settings.
Amount Due This column displays an invoice's original amount less any payments, less any credit memos, and less any outstanding retainage amounts (because retainage is not considered due at this time).
Days Out This column displays the number of days, from the invoice date to today, for which the invoice has had an unpaid balance.
Details

Click Details to open the Details dialog box and view the invoice amounts by invoice section and payments received. When you view the detail for an invoice that has credit memos posted against it, the credit memo amounts also display. See the Invoice Details dialog box help topic for more information.

View Invoice A View Invoice icon displays to indicate the invoice is on file for viewing. When you select View Invoice, one of the following occurs:
  • The Additional Documentation dialog box displays to allow you to choose whether you want to see additional details when you view the invoice. The dialog box only displays when the invoice was not edited outside of Vision and then uploaded, and when the project's billing terms has the Print Backup Report and/or one of the Print Supporting Documents options selected. Once you select the desired options and click Continue, the invoice opens with any selected additional details. See the Additional Documents dialog box online help topic for more information.
  • The invoice opens independently of Navigator in your browser. If the invoice was edited outside of Vision and then uploaded, the Backup Report will display if the project's Billing Terms is set to print it. The A/P Voucher or Expense Report supporting documentation does not display even if Billing Terms is set to print them.
When the invoice opens, it will display in one of the following accepted file types: PDF, RTF, Microsoft Word, and Microsoft Excel.
Comment Click Comment to open the Accounts Receivable Comments dialog box where you can review and edit Accounts/Receivable comments for the project's client. You can select the invoice and enter associated comments in either Vision or Navigator and the other application's comments will automatically update. Sharing the comments between the two applications ensures that you have all of the information that is related to the client's invoices in one location.

Your Vision security role must have access to Accounts Receivable comments for this column to display. See the Accounts Receivable Comments dialog box online help topic for details.
