Use Lookups to Enter Timesheet Data

Use the Navigator Timesheet lookups to make timesheet data entry faster and easier.

Lookups are available wherever you see a Lookup button. The data field in which the icon appears determines which lookup opens when you select the icon. For example, if you are in the Labor Code field and click the lookup button, the Labor Code lookup opens.

When you open your timesheet in Navigator, the lookups that display can be a combination of any of the following:

Project

Select the project that you want to enter in the Project field of your timesheet. Click in the Project field on the Timesheet form.

Phase/Task

If the selected project has associated phases, select the phase that you want to enter on your timesheet. If the selected phase has associated tasks, select the task that you want to enter on your timesheet. Click in the Phase or Task field on the Timesheet form.

Labor Code

Select the labor code you want to enter in the Labor Code field on your timesheet. Click in the Labor Code field on the Timesheet form.

If budgeted validations are enabled, you can use the Filter Budgeted Labor Code option to switch between displaying only budgeted labor codes or all labor codes.

Labor Category Select the labor code you want to enter in the Labor Category field on your timesheet. Click in the Labor Category field on the Timesheet form.
Search All lookups include a Search option. After you open a lookup, you can use the Search field to search the list of records in the lookup. Enter either a single character (for example, the letter "a" or the number 3) or a string of characters (" ab" or "13") .
  • If you enter a single character, Navigator searches for every record beginning with that character .
  • If you enter more than one character, Navigator searches for every record that contains that string of characters.
  • For whole word searches, enter a space before and after the word to search for only that word.
Enter the desired text in this field and click the Search button to locate the matching results. Even though the project's long name does not display in Navigator, for Project, Phase, and Task lookups, Navigator searches the project number and project long and short names that are entered in Vision. If you need to further refine the list of records, you can also use the Sort option to sort the lookup results by Name or Number.
Budgeted Validations Your system administrator or project manager may use the Budgeted Validation feature in Vision to ensure your timesheet lookup entries are valid. When budgeted validations are in use, labor codes and/or levels are defined for individual projects. This means that if you select a non-budgeted code or level from one of the Timesheet lookups, Navigator will display an error or warning message as soon as you make your selection. Follow the Navigator prompts to resolve the issue.
