Assign Resources to Projects in Project Planning

To assign one or more resources to work on a project, select the project in the Projects hub and specify the resource assignments in the Assign Resources to Project dialog box.

In addition to resources that you assign using the procedure below, employees with no planned hours but with JTD hours charged to a work breakdown structure (WBS) element are assigned automatically and display in the grid as well.

To assign one or more resources to a project:

  1. In the Navigation pane, click Hubs > Projects.
  2. Select the project for which you want to assign planned resources.
  3. Switch the Project/Plan toggle to Plan.
  4. On the Actions bar, click Other Actions > Check Out.
  5. Click the Labor tab.
  6. Do one of the following:
    • To assign resources to WBS elements in all or many of the WBS branches, hover over the Level/Resource value in the project-level row in the grid to display the icon, and click the . DPS displays the entire WBS in the Assign Resources to Project dialog box.
    • To assign resources to elements in just one branch of the WBS (a single phase, for example), hover over the Level/Resource value in the top-level row for that branch in the grid to display the icon, and click the . DPS displays that branch of the WBS in the Assign Resources to Project dialog box.
  7. By default, the dialog box displays all employees and generic resources. To restrict the list, do either or both of the following:
    • In the top Search field, select a standard search or a saved custom search.
    • In the bottom Search field, enter one or more search characters to further restrict the list. DPS displays a list of resources for which at least one of the following starts with those search characters: employee preferred name, employee first name, employee last name, employee name suffix, employee ID, generic resource name, labor category.
  8. In the list of resources, select the check box next to those that you want to assign.
  9. In Level, expand the WBS to display the WBS elements to which you want to assign the selected resources.

    You can only assign resources to the lowest-level WBS elements in each branch of the WBS. A + displays next to those elements.

  10. Click + next to each of the WBS elements to which you want to assign the selected resources.

    The resources are added, as pending assignments, to the list of assigned resources for each of the selected WBS elements. You can expand those elements to display all currently assigned resources.

  11. To assign other resources to the project, repeat steps 6 - 10.
  12. If you consider the new assignments hard booked, select the Hard Book check box.

    This check box is only available if DPS is configured to use soft and hard booking and if you have the required security access to hard book assignments.

  13. To confirm all of the new assignments and close the dialog box, click Assign.
