Expense Entry

Use Expense Entry under Finance & Administration to enter and manage the personal expenses of the employees for whom you are responsible.

To use the Expense Entry submodule, you must have access to Finance & Administration as defined in the User Access Rights submodule under Settings.

Expense Entry allows you to add employees' personal expenses to jobs. You can also use this submodule to enter personal expenses that are not related to jobs, for example, operating costs, and private withdrawals (if using company credit cards).

Note:
  • To manage your own expense entries, go to Time & Expense > Expense.
  • To manage only the entries that require your approval, go to Tasks > Approval > Personal Expense Approval.

Before you can enter operating costs and private withdrawals, you first need to set it up in Settings > Employee Settings > Employee Creditor Mappings.

System Variables

The following System Variables can impact expense entries:
  • System Variable 1102: If enabled, this System Variable will require that you attach a file to your creditor and personal expense entries before you can send them for approval.
  • System Variable 828: If enabled, this System Variable will allow the creation of both imported and manual expense entries, either of the two, or none.
  • System Variable 967: If enabled, this System Variable will allow you to manually adjust the VAT amount on expense entries that are on status 40 (For Approval).
