Edit a Timesheet

Depending on your access rights, you may be able to edit an existing timesheet's data after it has been saved and/or submitted. However, if timesheet audits are enabled, you can edit the hours for a timesheet row but you cannot change or remove the row's project, phase, task, labor code, labor category, or payroll tax locale information.

Prerequisites: Your timesheet processing capabilities depend on how your system administrator defines settings in Vision. Refer to the options listed in Checklist: Configuring Vision for Navigator Timesheets for more information, and contact your system administrator if you have questions.

To edit a timesheet, complete the following steps:

  1. Open a timesheet.
  2. Use the Row Tools options to edit the timesheet's data:
    Option Description
    Insert Place the focus on the row to the left of where you want to insert a new row and click Insert.
    Copy Place the focus on the row you want to copy and click Copy to copy it to a new grid row, including the project, phase, task, labor code, labor category, and payroll tax locale. Hours and comments are not copied. The new row displays below the copied row. You cannot copy a special category row.
    Delete Place the focus on the row and click Delete to remove the row from the timesheet.

    Navigator will not delete the row under any of these conditions:

    • The row is a special category row.
    • When timesheet audits are enabled and revision tracking has started on the timesheet, clicking Delete will not remove the row. You will be prompted to zero out the hours in the timesheet row, but the row itself is not removed. Follow the Navigator prompts as needed.
    • Your access rights do not allow you to delete rows that have been approved.
  3. Click Save. Navigator confirms that all required fields are complete. If so, the timesheet data is saved but is not submitted. You must click Submit after you save to submit the timesheet data for approval.

    If the required fields are not complete, an error message displays with the focus placed on the field that is missing a value.

    Note: If you revise a timesheet for a date prior to today, you may be required to enter an explanation for your revision. When Revision Explanations are required, the Revision Explanation dialog displays after you save or submit your timesheet. See the Explain a Timesheet Revision online help topic for more information.
